Stock Advice Processing Workflow

After a stock advice is submitted, it goes through several stages that indicate its current status. This article will help you understand the meaning of each stage and when they might occur.

Stock Advice Processing Workflow and Its Statuses

Stock Advice Status

Who works on the inbound

What is happening at that moment

New

System

The stock advice has been created but has not been yet saved and does not have a WMS ID assigned. This status should not normally appear if everything has been processed correctly. However, if the stock advice ends up in the "New" status, please contact customer support.

On hold

Client

The stock advice has been created but is only saved and not yet sent. At this stage, the warehouse is not yet aware of the stock advice. You can still edit and add items, as it is a draft version.

Incorrect

Client

The system has detected an error in the entry, and the stock advice must be manually corrected to proceed with the processing.

Awaiting inbound

Client/
Warehouse

Once the stock advice is correctly completed and saved, it moves to the Awaiting inbound status. The warehouse is now aware that the goods are expected to arrive and is waiting for their physical receipt.

In this status, it is still possible to make adjustments to the stock advice or cancel (delete) it entirely if changes are needed.

In progress

Warehouse

This status indicates that the warehouse has started processing the stock advice. From this stage onward, the stock advice can no longer be edited or canceled.

Partially finished

Client

If the warehouse receives only part of the goods from the stock advice (e.g., some items are missing), the status of the stock advice changes to Partially Finished. In this case, it is up to client to resolve the issue with the supplier to arrange delivery of the remaining quantity, or it is possible to close the stock advice to complete its processing.

Closed

x

You can close a stock advice usually in the Partially Finished status if you do not wish to wait for the delivery of the remaining advised goods. The status will change to Closed, and the stock advice will be considered completed.

Finished

x

Once the entire stock advice is received and all items have arrived, the status changes to Finished. This is the final status, indicating that the receipt of goods is fully completed.
