Creating Stock Advice

How to Create Stock Advice?

In the Mailship portal, you have two options for creating stock advice:

  1. Add them individually.

  2. Upload them in bulk using the import.

On this page, we’ll look at how to create individual stock advice. If you’re interested in performing a bulk import, follow this guide: Creating Stock Advices in Bulk via Import.


Creating an Individual Stock Advice

Mandatory Fields

  • Advice Number: Enter a unique stock advice number.

  • Virtual and physical warehouse: Select the warehouse where the goods will be received.

  • Expected date & time delivery: Provide the date and approximate time the goods are expected to arrive at the warehouse.

  • Supplier: Choose the supplier from your list.

If you haven't set up the supplier yet, add them first in User Administration | Suppliers

  • Packaging unit and Expected count: Enter the units (e.g., packages or pallets) and the number expected to arrive.

Expected count: By filling in this information correctly, you help the warehouse efficiently plan its capacity.

If you plan to send 6 or more pallets of goods to the Mailship portal, please let us know in advance. Contact customer support and check if we have the capacity to receive the shipment.

Stock advice items

  • In the full-text search field, enter the SKU, EAN, or product name.

  • Select the quantity of the item you want to include in the stock advice.

  • Add Item

Import items

How to import items
  1. Next to adding individual items, click the Import Items button.

  2. Download the template in the required format.

  3. Fill in the Product SKU (EAN code of the product, Primary EAN) or Internal SKU (Internal SKU).

  4. Enter the quantity of the product in the Quantity field.

  5. Save the completed template.

  6. Return to the form, select Import Items → Choose File → Import Files.

Optional Fields

  • Note - If you have arranged the Additional Work service as described here: Services and Functions for Products, make sure to always specify the agreed service in every stock advice where you will require these extra tasks.

  • Ref1/2/3 - A space for your notes regarding the stock advice.

  • Unit purchase price and currency - For your records, you can add the purchase value of the product in the stock advice.

Difference Between "Save" and "Save and send"

  • Save – Saves changes, but the order remains on hold.

  • Save and send – Saves changes and sends the order for processing.
