Order Processing

The process of handling and dispatching orders starts when the client places an order, which is then processed by the warehouse. Orders can be created through the Mailship portal. A detailed guide on creating and managing orders is available here: Expeditions


Standard Order Processing Workflow

  • Picking: A warehouse worker, known as a picker, prepares the goods by gathering items for the order based on availability.

  • Packing: The completed order is sent to the packing station, where it is carefully packed and labeled with a unique tracking number. Once packed, the order's status changes to “Waiting for carrier.”

  • Handing Over to Carrier: Each package receives a unique label and tracking number, enabling the shipment to be tracked until delivery. Carriers arrive at scheduled times to pick up the packages. Labels are scanned and uploaded to the system either at the warehouse or at the carrier’s depot.

Cross-Dock Order Processing

The cross-dock process allows goods to pass through the warehouse quickly with minimal handling and no need for long-term storage. This method is ideal for efficient and fast distribution, as products move directly from inbound to outbound.

  • Speed and Efficiency: Goods move straight from inbound to outbound, skipping storage.

  • Cost Reduction: Less storage space and no long-term inventory reduce warehouse management costs.

Which Orders Qualify for Cross-Dock?

To qualify for cross-dock, an order must meet these criteria:

  • The order is in the status "Waiting for goods" while inbound goods are being processed.

  • The order contains only one SKU and one product (cross-dock is available for single-item orders only).

  • The order does not include products with LOT evidence.

  • The order is not waiting for payment confirmation from the end customer.

  • The required shipping date is set to today or earlier.

Cross-Docking Workflow

During the receipt of goods, the system determines whether the item qualifies for cross-dock:

  • If it does, the system specifies the quantity to be received into the cross-dock location or a standard inbound location.

  • Once conditions are met, the order is automatically matched and moves to the status "Preallocated", where it cannot be edited or canceled.

  • When the order reaches the packing station, the status changes to "Completion", after which standard shipping procedures follow.

This approach ensures faster processing for qualifying orders, reducing costs and speeding up delivery to the customer.


When Can Orders Be Edited or Canceled?

Orders can be edited or canceled directly in the Mailship portal up to a certain stage. Later, customer support may assist with changes. Beyond a specific point, no further modifications are allowed. For detailed information, refer to the Expedition Changes manual.
