Product Changes
This guide provides instructions on how to make changes to products in Mailship. We will go through how to activate or deactivate a product, change the name, SKU, or EAN code. You will also learn about other modifications that can be made to products.
Activating/Deactivating a Product
Activating a Product
When you fill in all the required fields for a new product, it will automatically be activated and become available for orders.
Deactivating a Product
If you no longer want to use a product, you can deactivate it. A deactivated product will not appear among the products available for orders.
If you need to reuse a parameter from a deactivated product, such as the Primary EAN or Internal SKU, to create a new product, please contact customer support for adjustments. Afterward, you will be able to create the new product.
Product Changes in the Mailship Portal
You can only modify product details that are currently allowed based on the product's status. Mailship automatically manages what can be changed, such as the EAN, SKU, name, or LOT evidence. These changes are made in the Mailship portal by opening the product details.
What Can Be Freely Edited on a Product
You can easily edit these fields directly in the Mailship portal without the need to contact customer support. Simply open the product details and make the necessary changes. The updates will take effect immediately, helping you maintain up-to-date information about your products effortlessly.

Fields That Cannot Be Edited in the Mailship Portal
Some fields cannot be changed without contacting support, and in certain cases, they cannot be edited at all. We recommend modifying these product parameters only in exceptional cases! Additional changes may cause synchronization issues between systems, potentially affecting order processing and delaying shipments to end customers.

SKU and EAN Changes
We recommend changing the product parameters Primary EAN and Internal SKU only in exceptional cases. Such changes may cause synchronization issues between systems.
For changes to SKU or EAN, it is necessary to contact customer support and consult on the best way to implement the change.
SKU Change
Our support team can easily update the Internal SKU. From your side, it is important to ensure that the product in your e-shop/system has matching details.
EAN Change
An EAN change is only possible if the product has no stock available. If it is necessary to change the EAN for a product with stock, customer support will assist you in removing the product from stock and re-stocking it with the new EAN.
LOT Evidence Change
If you know that you want to track a product with a batch and expiration date, we strongly recommend turning on batch tracking on the product before the first inbound.
In general: If the product has an expiration date, we always recommend turning on batch tracking on the product card.
What happens if batch tracking is not turned on before the first inbound?
The warehouse worker is not asked to enter a batch during the receipt of goods.
The goods are stocked as standard (without batch tracking).
The system records them as non-batch stock.
What happens if you turn on batch tracking later?
The original stock remains without a batch.
New inbound will already have batch tracking.
When reserving items for expeditions, the system will prefer stock without a batch.
What happens if you turn batch tracking off?
The same logic works the other way around. If batch tracking was turned on during the first inbound and you turn it off later:
The original stock remains tracked with a batch.
New inbound will be without a batch.
When reserving items, the system will prefer taking out stock with a batch.
How does reservation to expeditions work based on the settings?
For overview:
Product has LOT evidence turned on → the system prefers to reserve stock without a batch.
Product has LOT evidence turned off → the system prefers to reserve stock with a batch.
👉 The system always works first with stock that does not match the current batch tracking setting on the product card.
Deleting a Product
Complete deletion of a product is not possible in Mailship. If you no longer wish to use a product, you can deactivate it and edit its details (e.g., name, EAN, SKU) to reuse them for another product. Products marked as inactive will not appear in orders or sales.
